DataPilot – Profit Analytics & Guardrails FAQ
General Questions
What is DataPilot?
DataPilot is a Shopify app that calculates true contribution margin (revenue − COGS − payment fees − shipping) per order, SKU, and channel, and protects margins with automated guardrails. How does DataPilot work?
We sync orders, products, and discounts via Shopify APIs and webhooks, apply your cost model (COGS, fees, shipping), and surface profit insights. Optional guardrails trigger actions via Shopify Flow/Functions.
Profit & Costs
Which costs are included in profit?
COGS (variant/inventory costs), payment fees (rate/flat), shipping costs (internal rates you enter), and optional packaging/misc costs. Taxes are shown as-is and not treated as costs in v1.Can I enter internal shipping rates?
Yes. Go to Costs & Imports → Shipping Costs. Add per-order or rule-based rates (e.g., zone/weight). These are applied to orders and included in profit calculations.Where do I manage product costs (COGS)?
Costs & Imports shows coverage for product/variant costs. You can edit inline or import a CSV. When costs are missing, DataPilot flags affected SKUs.Do refunds and discounts affect profit?
Yes. Refunds are deducted. Discounts reduce revenue at order/line level. Guardrails can tag loss-risk orders and (optionally) limit discounts via Functions/Flow.
Setup & Requirements
What do I need for DataPilot to work?
At least one order and products with COGS. For best accuracy, enter internal shipping costs and payment fee rates. How long does the initial sync take?
Usually a few minutes for smaller stores (last 30–90 days). Larger stores may take longer; progress indicators appear in the app.Which permissions are required?
read_orders, read_products, read_discounts; optionally write_discounts for guardrail actions. We request the minimum required scopes.
Automations & Guardrails
What are profit guardrails?
Configurable rules that detect margin risks (e.g., DB% below a threshold) and trigger actions like tagging orders or disabling price rules via Flow/Functions.Can DataPilot block loss-making discounts?
Yes, via Shopify Discount Functions and Flow. You decide the thresholds. An audit log records every action, and a kill switch can disable automations instantly.Do I need Shopify Plus?
No for analytics. Some discount/checkout controls may require Functions support; DataPilot degrades gracefully when Functions aren’t available.
Mobile
Is DataPilot optimized for mobile?
Yes. The dashboard shows key KPIs (revenue, COGS, margin), trends, and top products in a mobile-friendly layout for quick checks on the go.
Plans & Billing
How are plans priced?
Plans are based on monthly store revenue. All plans include the full feature set. Pricing scales fairly with usage. Can I change my plan at any time?
Yes. Upgrades are suggested automatically when revenue exceeds a tier; downgrades are available when revenue falls below thresholds (with a grace period). Is there a free trial?
Yes, all plans include a 7-day free trial.
Technical Questions
What data sources and freshness do you support?
Shopify Admin API + webhooks (orders, products, refunds, discounts). Data refresh occurs near-real-time for new events; historical imports run in batches.Do you support multiple currencies or regions?
v1 focuses on a single currency/region per store for accurate margins. Multi-currency support is planned for a future release. Can I export my data?
Yes. You can export product profit tables and cost coverage as CSV. Additional exports will be added over time.
Management & Imports
How do I import or bulk-edit costs?
Use Costs & Imports to upload CSVs or bulk edit. We validate coverage and highlight missing COGS.How do I maintain shipping costs?
In Costs & Imports → Shipping Costs. You can define flat per-order rates or rule-based templates. Changes apply to new calculations automatically.
Troubleshooting
Profit looks wrong. What should I check?
Verify COGS coverage for the affected SKUs, confirm shipping/payment fees are entered correctly, and check discount/refund details on the order. Why do some products show no costs?
Their variant/inventory costs are missing. Go to Costs & Imports to add COGS or upload a CSV for bulk updates. Why are recent orders missing?
If you just installed, allow the initial import to finish. Confirm your app scopes and that orders fall within the synced date range.
Privacy & Security
Is DataPilot GDPR compliant?
Yes. We process only necessary data, store it securely, and honor data export/delete requests. Data remains within the Shopify ecosystem where possible. How can I get support?
